Notary for Closing Documents in Dubai: What to Bring and How It Works

A notary for closing documents checks who signs, confirms the signature is genuine and notarises the paper so the other side can rely on it. If you are closing a sale, a loan or a business deal in Dubai, this step often decides whether the file moves forward or comes back for correction. We notarise your document at our Business Bay office.

5 minute read

The practical catch is timing. Most closing files are turned away for small errors: a blank field, a signature made before the appointment, or missing proof of who may sign. Fix these before you sign and the notary step is simple.

What Closing Documents Are

“Closing documents” is not a legal term with one fixed list. It means the papers signed at the end of a deal. In Dubai these often include:

  • Sale or transfer agreements and the powers of attorney used to sign them
  • Loan or mortgage papers, where the lender asks for notarised signatures
  • Share transfer papers and board or shareholder resolutions
  • Declarations and consents the other side asks for

Each of these may need a notary for closing documents before the other side accepts it. Our guide to notary for a mortgage in Dubai covers the loan side in detail. For company papers, see our page on corporate and business notary services.

Document Notary Dubai: What the Notary Does

Notarial acts in the UAE are regulated by Federal Decree-Law No. 20 of 2022 on the regulation of the notary profession. In Dubai, notaries public are regulated by Dubai Law No. 4 of 2013.

For a closing file, the notary usually does three things:

  1. Confirms the identity and authority of each person who signs.
  2. Witnesses or authenticates the signature.
  3. Notarises the document, and any translation inside it, so it can be used with the other party, a bank or an authority.

A private notary in Dubai is a lawyer licensed by Dubai Courts to carry out notarial acts. If you are unsure which route fits, read private notary vs public notary.

Notarization of Documents in Dubai: What to Bring

  • Original Emirates ID or passport for every signer
  • The final draft, unsigned, in the language the other side requires
  • A power of attorney, if someone signs for you
  • Company papers showing who may sign, where a company is involved
  • Any earlier notarised or attested papers the deal depends on

Do not sign before the appointment. A signature made earlier can mean the paper has to be redone.

When a Document Also Needs Attestation

A notarised paper is not always enough. If the document will be used abroad, or a foreign paper is used here, attestation may follow. The UAE is not a party to the Hague Apostille Convention. Foreign documents are attested in the issuing country, including at the UAE embassy there, then by MOFAIC in the UAE. MOFAIC fees are AED 150 for personal documents and AED 2,000 for commercial documents. These are separate from notary fees.

If your matter sits inside DIFC, DIFC Courts runs its own notary service. Tell us at the start and we will point you to the right route.
